1. Entry Fees & No Refund Policy

All race entries are final, non-refundable, and non-deferrable.

Once your entry is confirmed, no cash refunds will be issued under any circumstances. This includes, but is not limited to:

• Personal illness, injury, or medical emergencies.

• Work commitments, travel delays, or personal scheduling conflicts.

• Decisions not to participate on event day.

2. Cancellation / Event Alterations Beyond Our Control (Force Majeure)

The event organizers reserve the right to modify, cancel, delay, or reschedule the Sabi Sand Trail Run in the event of severe weather, natural disasters, wildlife hazards, safety threats, or other unforeseen circumstances beyond our control (Force Majeure).

In the event of race cancellation or postponement due to these factors, entry fees will not be refunded, as substantial non-recoverable event costs (permits, logistics, safety crews, apparel, and supplies) are incurred prior to race day.

3. Entry Modifications: Substitutions, Upgrades & Downgrades

• Option A — Substitutions & Category Changes: If you are unable to participate or wish to change your distance, you may request an official substitution, upgrade, or downgrade up until 10 Days before the event.

  • Any substitution, category upgrade, or category downgrade will incur a R200 administration fee.

  • For category upgrades, the runner must pay the R200 admin fee plus the difference in entry fee.

  • For category downgrades, the R200 admin fee applies, and no refund will be given for the price difference.

• Option B — Race Pack Collection: If you cannot participate and do not wish to substitute your entry, you remain entitled to collect your official race pack, finisher shirt, and goodie bag at designated packet pickup locations. Gear cannot be posted after the event unless shipping is arranged and paid for separately.
